The situation

Same platform, six ways of using it.

Intuit's Marketing Operations groups had each shaped Workfront around their own habits. Requests landed in the wrong queues, similar work carried different names, and leadership reporting required manual reconciliation before anyone trusted it. The investment was sound; the connections between teams were not designed.

What we did

Governance first, then automation.

  • Reviewed the current environment across every participating team
  • Defined shared governance, naming and template standards
  • Rebuilt intake so requests route correctly the first time
  • Built Fusion automations for handoffs between groups
  • Aligned reporting so leaders read one version of the truth
  • Trained admins and requesters as the changes rolled out

Why it held

Designed for adoption from the start.

Standards were written with the people who use them, not handed down. Automations removed steps teams disliked anyway, so the new way was the easier way — and change management support carried the rollout through the inevitable shifts in priority.
